Title:  Production Administrative Assistant

The Production Administrative Assistant provides essential support to the production department. This role involves timekeeping, preparing various reports, processing documentation, labor scan tracking, labor editing, and data analysis. This role will manage day to day processes and perform checks and balances to ensure accuracy.

Essential Duties and Responsibilities:

  • Provide comprehensive administrative support across multiple departments.
  • Processing exceptions, analyzing data for trends and errors, configuring and maintaining timekeeping systems, and providing support to ensure accurate and efficient labor tracking and time keeping.
  • Run Time Administration and Labor reports; researching and preparing special adjustments including coding and processing employee work hours.
  • Monitor and resolve data discrepancies, exceptions, and errors within the system.
  • Ensure all time edits are processed in a timely manner.
  • Review, approve, and transfer labor entries daily.
  • Generate weekly attendance reports and distribute them to leadership.
  • Process contractor timesheets and submit them to Human Resources.
  • Monitor the company call-out line each morning and distribute attendance updates to appropriate managers.
  • Process internal production work orders after completion.
  • Assist with end of month reconciliation process.
  • Assist in the preparation and compilation of Customer Packets and other administrative tasks directly relating to production needs.

 

Qualifications:

  • Proven experience in administrative support within a production, manufacturing, or      operations environment.
  • Strong organizational & time-management skills with the ability to handle multi-task in fast-paced settings.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and production. ERP software systems.
  • Experience preparing reports, maintaining accurate records, and data analysis.
  • Excellent communication and interpersonal abilities for effective collaboration across departments.
  • Detail-oriented with a focus on accuracy, efficiency, and continuous improvement.
  • Ability to adapt quickly, troubleshoot issues, and support production teams in meeting deadlines.

Education/Experience:

  • High School diploma or GED required, some college desired
  • 3+ years in a front desk or customer-facing position in an office setting preferred
  • SAP experience a plus
  • Experience with office machinery including scanner, postage meter, multi-line phone
  • Excellent written and oral communication skills
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) in a business/professional environment

  • Must have knowledge of basic mathematics
